Job Title: Business Support Officer / Data Entry Specialist (VPTAS)
Location: Hybrid – Melbourne CBD / Work from Home
Pay Rate: $40.00/hr + Super
Contract Duration: 3-Month Assignment (Start Date: 14th September 2026)
Work Type: Full-Time (38 hours per week)

About the Role

As a Business Support Officer, you will play a critical role in processing subsidy applications, managing accurate data entry, and providing high-quality support to applicants via phone and email.

This fast-paced, customer-focused role is ideal for an experienced data entry operator or administrator who thrives in a collaborative, dynamic public sector environment.

Key Responsibilities

  • Data Processing & Assessment: Review, register, and accurately process subsidy applications for travel, accommodation, and transport components using EPP and SharePoint systems.
  • Data Integrity & Verification: Verify applicant details, banking information, concessions, and supporting documentation against established program guidelines and business rules.
  • Customer Support: Answer inbound telephone enquiries professionally, providing application status updates, procedural guidance, and resolving queries at the first point of contact where possible.
  • Recordkeeping: Maintain complete case notes, assessment rationale, and status updates across internal databases in compliance with privacy standards.
  • Issue Resolution: Identify duplicate, missing, or inconsistent information and escalate complex applications, potential fraud, or policy exceptions to team leads.

Key Requirements

  • Experience: Previous experience in data entry, administrative support, customer service, or working with grant/claims application systems.
  • Technical Skills: Strong proficiency in standard office systems (EPP, SharePoint, telephony tools, Microsoft Teams).
  • Attention to Detail: High accuracy in checking documents, entering data, and verifying calculations under time constraints.
  • Communication: Outstanding verbal and written communication skills, with the ability to manage sensitive or distressed callers with empathy and professionalism.
  • Adaptability: Strong time management, resilience, and the ability to switch effectively between application processing and phone queue duties.
